Job Description
The office coordinator will perform budget, payroll, and general administrative duties for the Athletics Advising Department and specifically the Director of Student Athlete Success & Engagement, administer the Athletic Textbook distribution and return program. Supervise and maintain work study schedule, exercise independent judgement and tact, maintaining confidentiality and following all NCAA rules and regulations. Work collaboratively with other University administrators in the department to support other aspects of the athletics program.
Education and Experience
- Associate or bachelor’s degree with 3-5 years of administrative, higher education or student services experience preferred.
Skills and Knowledge
- Excellent organizational, time management and verbal skills required.
- Demonstrated proficiency in word processing and spreadsheet software, Microsoft Word, Excel, and database management software.
- Familiarity with University, Human Resources, Payroll, Academic and Peoplesoft programs preferred.
Responsibilities
- Monitoring expenses for the Athletic Advising Department, including scholarship student-athlete book distribution.
- Advise Director of Student Athlete Success & Engagement regarding expenditures and make recommendations.
- Preparation of purchase requisitions and credit card statements.
- Process work study and tutoring program payroll. Including preparing IJANs, RAP, AJTs and time input for tutors, instructional assistants, and student-workers (100-150.)
- Provide administrative support to the Athletic Advising Department and specifically to the Director of Student Athlete Success & Engagement. Process and work daily with highly confidential student information and personal documentation while ensuring integrity and compliance with all policy and procedures of the University as well as the NCAA.
- Assist with the planning and implementation of the Annual Minnowbrook Summit and other outreach events on campus and at other locations.
- Supervise and train work-study students who assist in various daily operations of the advising office.
- Assist with the planning and coordination of meeting, functions, and events.
- Schedule conference rooms in the Stevenson Educational Center for the Athletic department, University and community including equipment and presentation materials as needed.
- Assist the tutorial coordinator as needed during high volume times.
- Maintain, update, and assist with production of advising materials, office forms, tutor training manuals, tutor session reports and study table reports.
- Maintain administrative files, records, and database for the department.
